Accounts Payable/ Human Resources Office Assistant (Temp to Perm)

We are currently seeking an Accounts Payable/Human Resources Office Assistant to join our team. This is a temp to perm position with the opportunity to convert to a full-time employee. This individual adapts well to fast-paced environments, is a problem solver, and possesses the ability to provide a high degree of customer service and responsiveness. We are looking for someone who can collaborate effectively cross functionally, and within our team. This person supports our accounting team in the payment of goods and services purchased; ensuring invoices are accurate and proper accounting procedures are followed for the purchasing and payment of goods and services. This person also provides general office administrative functions for the Company as well as supporting Human Resources. This will be a hybrid position and the individual will be expected to work in the Mountain View, CA headquarters.

Key Responsibilities:

Accounts Payable Responsibilities

  • Process invoices in the ERP system
  • Communicate with co-workers, management, clients and others regarding purchases
  • Resolve pricing and receiving discrepancies by working with multiple departments to find the solution
  • Assist with weekly check runs (must come into the office at least one day per week)

General Office Support Responsibilities

  • Answer phones and greet guests in a professional and courteous manner.
  • Daily mail distribution
  • Inventory & order all office supplies
  • Oversight of kitchens/breakrooms
    • Manage and oversee weekly deliveries from food vendor
    • Weekly ordering from Safeway
    • Weekly bagel delivery
    • Order monthly lunches for lunch & learn program & other ad hoc meetings/events

Human Resources Responsibilities

  • Schedule interviews for all non-sales positions
  • Create and distribute new hire packets
  • New hire set up (mail slot, name plate, business cards, evacuation rosters etc.)
  • Service award preparation & distribution at Company Meetings
  • General filing of confidential documents
  • Other administrative tasks as needed.

Requirements

  • 1-3 years of experience in Accounts Payable as well as general office experience preferred.
  • Bachelor's or AA degree highly desired.
  • Excellent attention to detail
  • Stellar communication skills, both written and oral
  • Ability to work effectively as a team
  • Strong office computer knowledge is required, applicants must have experience with and Excel
  • Excellent organizational and time management skills.
  • Ability to interact with multiple types of individuals (internally and externally) in a professional and pleasant manner both in person and over the phone.
  • Courteous and professional demeanor.

$65K-$75K base compensation annually or $30-$36 an hour (temporary) - Compensation will be determined based on several factors including but not limited to skill set, years of experience and geographic location.
