Job Title: Loan Documentation Manager

Location: Loan Support

Function Effectively manage a centralized documentation and fulfillment unit responsible for the preparation of loan documents and funding of all types of consumer, commercial, and real estate loans to ensure they are prepared in accordance with approved terms and conditions and in conformity will all applicable laws and regulations. Assume primary responsibility for supervising, training, planning, assigning and directing documentation and fulfillment workflow to team members. Serve as the expert and authority over the bank’s loan documentation function.

Duties and Responsibilities 1. Assumes responsibility for the efficient and effective operation of the loan documentation and fulfillment group in the Loan Support Department by: a. Developing new and maintaining existing operating policies, procedures, and systems, reviewing periodically for improvement. b. Establishing strategies, goals and programs to insure that production, service and quality standards are met. c. Making recommendations for personnel regarding employment performance ratings (completion of annual performance reviews), salary changes, promotions, transfers, and terminations. d. Guiding and advising personnel in the more difficult phases of their work. e. Resolving complex documentation requirements f. Insuring that prescribed schedules and operating policies and procedures are followed. g. Monitoring workflow in order to insure maximum productivity and quality work. h. Developing training programs for the team to insure compliance with internal policies and procedures, applicable laws and regulations and competence with all loan documentation. i. Developing skills that will allow team members to achieve their full potential and provide opportunities that enhance career growth. 2. Support team members and bank partners daily by taking an active leadership role using a thorough knowledge of all aspects of loan documentation, regulatory compliance, core system requirements and functionality, and loan related legal matters. 3. Provide technical support for all applicable loan documentation, processing, and closing software, and apply modifications as required to enhance system operations. 4. Conduct quality reviews of complex legal documents before presentment to lenders. 5. Evaluate areas of non-compliance and the associated risks to the bank and make decisions concerning those situations. 6. Serve as a working manager in fulfilling the documentation needs of the various bank loan products requested by a variety of bank partners via internally prepared and attorney prepared documentation. 7. Oversee the consumer and commercial real estate appraisal ordering function of the Bank to insure operational efficiency and independence from the lending and related divisions. 8. Order closing documents and coordinate closings on real estate loans through attorneys, title companies, or internal document preparation staff. 9. Interpret regulations and insure compliance with appropriate laws and regulations, work with the bank’s compliance officer in making necessary procedural changes to comply with new or revised requirements, communicate changes to staff, and develop necessary training to implement the changes. 10. Organize and conduct monthly meetings, providing a forum for employees to communicate system and process issues. 11. Monitor loan participations to insure that the bank’s records are accurate and consistent with the lead bank’s records. 12. Book and maintain system records associated with the bank’s municipal lending program including revenue bonds. 13. Review and maintain tracking, productivity, performance, and edit reports associated with document preparation and the booking of loans on the core system. 14. Configure technology solutions, including origination, processing, and servicing systems to insure that processes are automated, accurate and efficient. 15. Continually evaluate process improvements while ensuring regulatory, legal and audit compliance. 16. Establish Service Level Agreements (SLA’s) and maintain quality service standards. 17. Provide primary back for the Loan support Manager and assist in the completion of special projects, budgets, and other assigned tasks.

Minimum Qualifications (Required)

Education:

  • High school degree with some college
Work Experience:
  • 5 years loan documentation and funding experience including experience with consumer, commercial, commercial real estate loans, loan participations, municipal loans and letters of credit; or
  • A 4 year college degree in a business related field plus 2 years of experience in a loan related function in a bank or other financial institution.
  • Strong professional written and verbal communications skills with the ability to effectively interface with internal business, retail and private bankers, operations teams, IT staff, auditors, regulators, attorneys, and senior management.
  • Thorough knowledge of applicable real estate lending related regulations and compliance
  • Proven interpersonal team-oriented leadership skills
  • Superior and confident decision making, problem solving and organizational skills with the ability to multi-task and work under pressure of deadlines. Effective and professional written and verbal communication skills
  • Proven ability to develop subordinates, motivate them, and guide them through career paths
  • Professional work ethic, self-starter, innovative
Supervisory Experience:
  • 5 years supervisory or management experience that includes writing performance appraisals, making salary recommendations, and performing coaching and counseling; or
  • Participation in other professional level leadership and management training
Computer Skills:
  • Excellent and demonstrated personal computer skills including the use of spreadsheets, word processing, e-mail, and bank core applications
Preferred Qualifications

Education:
  • 4 year college degree in Accounting or Finance
Work Experience:
  • 7 years loan documentation and funding experience with consumer, commercial , commercial real estate loans, loan participations, municipal loans and letter of credit
Supervisory Experience:
  • 7 years supervisory experience in a loan documentation area of a Bank
Computer Skills:
  • Laser Pro Lending, ProSign, and Calyx Point experience
