EXECUTIVE ASSISTANT!

Under little or no supervision, performs a variety o! f responsible and confidential secretarial duties requiring knowledge of business, legal, and financial terms. Handles all types of correspondence for the Senior Vice President, CFO. Arranges travel, appointments and calendars. Acts as a liaison between internal and external executive level personnel. Prepares reports as directed by the Senior Vice President, CFO. Assists with the preparation of presentations delivered by the Senior Vice President, CFO. Decision-making is moderate, governed by procedure and guided by policy and occasionally by objective, and focused on daily operations.

ESSENTIAL FUNCTIONS
Acts as a liaison between Senior Vice President, CFO and the Board of Directors, Management Team, and other external executive-level personnel including: shareholders, analysts, auditors, attorneys; provides information and resolves problems according to direction of the Senior Vice President, CFO and takes action in his absence when applicable.
Maintains! appointment schedules and calendars; makes travel arrangements; coordinates details of internal and external meetings; gathers information and assists in agenda preparation; and contacts meeting participants.
Screens and controls Senior Vice President, CFOs correspondence, phone calls, and visitors; assures timely staff response; independently responds to letters and general correspondence of a routine nature; responds to complaints and requests for information; determines which requests should be referred to other staff members.
Provides administrative support to the Senior Vice President, CFO, and to designated staff members in the department including maintaining files, letter writing, photocopying, faxing, and answering phones.
Handles a variety of sensitive situations and problem solves on own initiative, advising Senior Vice President, CFO of action taken.
Prepares the following reports; Monthly Expense and mileage. Gathers reports for Finance Risk Ma! nagement Audit Committee and sets up the Board Portal.
Assists in t! he preparation of presentations made by Senior Vice President.
Serves as Records Department Coordinator, Disaster Recovery Coordinator and Reporter for the Senior Vice President, CFO office.
Serves as back-up to Investor Relations.
Maintains the Finance intranet site.
Performs all duties in a confidential manner.

EDUCATION / EXPERIENCE REQUIREMENTS
High School Diploma or equivalent is required. Associates Degree in related field is preferred.
Two to three years of experience in related field is preferred.

KNOWLEDGE / SKILLS
General knowledge of business and legal terms and concepts.
Specific knowledge of financial terms and concepts.
Principles, practices and procedures of office administration, office methods, and equipment; clerical methods, techniques and filing procedures.
Correct business English, grammar, spelling, vocabulary and arithmetic at a level necessary for satisfactory job performance; operation of sta! ndard office equipment as well as advanced computer skills, including Microsoft Office with proficiency in Microsoft PowerPoint; accurate typing from clear copy at 65 words per minute; excellent customer service skills; and the ability to effectively maintain work relations with those encountered in the course of employment.
