The Administrative Support Specialist assists in providing administrative support to the Senior Management Team, Executive Support Team, and back up support for the Executive Coordinator to the Board of Directors. This is a highly visible position, supporting contributors at the highest levels of our organization.

Your day may include:
  • Assisting in providing administrative support to Management Team members as requested to include correspondence, meetings, agendas, minutes, research reports, report preparation, scheduling, travel planning, and preparing expense reports.
  • Attending and providing support at Board meetings, retreats, and a variety of leadership meetings
  • Preparing materials for both written and verbal presentations through various desktop applications
  • Responsible for handling confidential and routine correspondence
  • Reserving and maintaining conference rooms and preparing for meetings
  • Maintaining refreshment supply for all meetings; ordering catering/refreshments for meetings
  • Scheduling flights, lodging, and group transportation as requested
  • Registering attendees for conferences
  • Scheduling external vendor meetings
  • Scheduling internal meetings on behalf of members of Management Team and maintaining calendars
  • Ordering supplies
  • Maintaining supply room equipment (copier/printer/toner, etc).
  • Delivering mail to mail room/picking up mail from mail room; opening and distributing mail
  • Supporting special projects as needed
What you bring to the team:
  • Minimum of Five (5) years’ experience of administrative experience
  • Strong Customer Service Skills
  • Data Entry experience
  • Ability to maintain calm demeanor, work under pressure, and problem solve while handling multiple demands/tasks
  • Well-developed interpersonal, written, and telephone communication skills
  • Ability to calculate figures and percentages and collect and analyze data to form recommendations
  • Excellent decision-making skills
  • Ability to maintain discretion and confidential information
  • Microsoft Office Suite proficiency
Bonus points if you have:
  • Event/Meeting planning and technology experience
Competitive pay: $23.51 - $35.26 per hour, dependent on applicable qualifications plus an annual discretionary incentive plan
  • The range above allows our employees room for growth through annual merit and other pay increase during their tenure in the position.
  • The target range for qualified new hires is typically within the first half of the range. Actual offers will be based on individual qualifications relevant to the role and will not take an applicant’s pay history into account.
Where we’re located: 330 Union Ave SE Olympia, WA.
When you’d work: Monday–Friday 9:00am-4:00pm, Part Time, minimum 30 hours a week, scheduling flexibility is required to meet the needs of this role, non-exempt. Travel and some evening/weekends are required on a limited basis.
