POSITION GOAL:The Administrative Assistant manages the support functions specifically to the Chief Nursing Officer and the Associate Chief Operating Officer. Provides backup support to CEO, COO, CFO, Assistant Administrator, Department Directors and the Administrative office. Works with the Office Manager to the CEO, Administrative Assistant to COO/CFO/Contract Coordinator and Department Secretary in communicating with Medical Staff, maintaining all records, files, etc., in accordance with Joint Commission. Assists visitors and the public with any inquiry, problem or complaint presented, within the realm of designated authority.

Serves as an information center supplying information requested or directing inquiries to the proper source. Problems that cannot be resolved are directed to any of the administrative staff after complete background information has been obtained for information. POSITION RESPONSIBILITIES:1. Coordinates the support activities for the CNO and Associate COO.

2. Serves as Recording Secretary for Monthly Oncology Advisory Committee and Oncology Planning Meetings including: Prepares agendas, handouts and follow-up of meeting recommendations Record meeting minutes and maintaining meeting notebook. 3. Supports the ECO and Co-ECO including coordinating quarterly FECC meetings by: Prepares agendas, handouts and coordinates follow-up of meeting recommendations Serves as Recording Secretary of FECC meeting and submits minutes within required timeframe to corporate Distributes E&C policy links and updated E&C binder with policy updates Maintains Ethics case files for ECO Assists with E&C audits4.

Serves as Recording Secretary for Quarterly Hospital Ethics Committee meetings including: Prepares agendas and handouts Records meeting minutes.5. Serves as Recording Secretary for the Ancillary Department meetings including: Prepares agendas and handouts6. Serves as Recording Secretary for CHF Committee meetings including: Prepares agendas and handouts Records meeting minutes.7. Assists in coordinating Construction Projects: Schedules construction meetings with architects agendas, handouts and follow-up of meeting recommendations Point of contact for the construction crew, architects/design team Completes GHX orders for furniture, pictures, whiteboards, etc.

8. Coordinates monthly meeting with COO/Associate COO and New Director/Managers including: Compiles administration section handouts for new director/manager binders Maintains and updates master binder for COO/Associate COO Ensure new directors/ managers receive updated Aspire Binders 9. Weekend Rounding Schedule: Sets schedule for directors and executives to round on the weekends. Sends out weekly emails to employees the names and times of rounding Updates rounding log with weekend findings by department10.

Schedules MOR Monthly meetings with Associate COO and reporting Directors.11. Maintains CNO’s and Associate COO’s expense accounts on a current basis in Concur. 12. Assists with Fund Raising Activities: Good Government Fund - Tracks contributions on spreadsheet, keeps track of money and updates administration and corporate as required.13.

Coordinates the Nurse Director meetings including: Notifies members and request agenda items. Creates agendas and assemble handouts. 14. Serves as the Nurse Staffing Advisory Committee Secretary including: Calendar meetings and rooms; orders lunch.

Notifies committee members by email, meditech, and phone. Collects data and creates graphs for the data collected for the selected department indicators Prepares agendas, handouts, sign-in sheets, and follow-up from recommendations. Tracks attendance. Records meeting minutes 15.

Assists MMC Recording Secretary for monthly Nursing Quality Committee Meetings including: Calendaring meetings and rooms Assisting MMC staff in coordinating the monthly Nursing Quality Committee shared campus meeting.16. Secretary for Nursing Peer Review Committee: Preparing and maintaining Peer Review employee files. Assists Chair and Nurse Advocates with forms/correspondence. Mails correspondence to nurse under review (Notices, Finding, Reporting to TBN, etc.) Types updates to policies and forms upon request.

Coordinates and calendars Peer Review Committee meetings. Prepares agenda packets and handouts for review. Submits reported documentation to the TBN by certified mail.17. Coordinator for Texas Board of Nurse Examiner Requests/ Subpoenas: Processes subpoenas from the Texas Board of Nurse Examiners.

Distributes requests for information to departments and Division Legal. Collects data and copy for files and maintains all files for BNE requests. Submits TPAPN requests by nursing to appropriate agency; maintain all TPAPN files.18. Coordinate breakfast and lunch meetings with CNO and/or Associate COO and staff from reporting departments.19.

Serves as back-up and assists Contract Coordinator in the hospital’s contracting processes. 20. Other Administrative Functions: Heavy Calendaring/ Schedules meetings for the Administrative staff as requested including physician meetings. Assist with scheduling of meeting rooms.

Setting up computer equipment and projectors for meetings. Back up for phones, reception duties, walk-ins, complaints, cleaning board room, and stocking supplies. Assist with scheduling of webcasts as requested. Assist with updating policies and procedures as requested.

Orders supplies through Eway and GHX as required Assists with special projects as requested by the Administrative staff. Facilitates travel and seminar arrangements for hospital personnel as requested. Solves problems and makes decisions regarding the Administrative support functions, exercising independent judgment as appropriate.INTERACTION WITH OTHER DEPARTMENTSDeals with department directors and managers and other hospital personnel at all levels.POSITION REQUIREMENTSExperience - Minimum 5 years Administrative Assistant experience REQUIRED, preferably in a hospital setting.Education - Special Qualifications - Strong word processing (Microsoft Office) and other computer skills. Excellent communication collaboration and well experienced in writing, editing, and well trained in office procedure.

Must have ability to act on own initiative and be willing to assume responsibility and make decisions. Must be able to prioritize workload, be a self-starter, able to multi-task, work in a fast-paced environment and work independently with minimum supervision. Good organizational skills. Detail oriented.

Ability to handle confidential information appropriately. Ability to work and participate in a team environment within and across departments. High degree of flexibility required. Outside Relationships - Interaction with Division and Corporate personnel, medical staff, attorneys, patients and family members and other individuals related to the operation of the hospital.
