This position coordinates and monitors the corporate Records Management and Compliance programs to comply with regulatory and statutory requirements. Facilitates records life cycle management including disposition of all records, regardless of media.

Key Responsibilities: Monitors records management activities to ensure quality as! surance of transmittal sheets transferring records to off-site storage, and to ensure compliance with Company policy, procedures and retention guide lines. Resolves discrepancies with department record contacts.

Utilizes Tesoro and vendor databases to provide inventory reports to records coordinators in the different functional areas within the Company to enable the record coordinators to conduct quality control checks on their records maintained in storage.

Processes storage vendor invoices, including review, billing issue resolution, invoice adjustments in the Legal billing system and forward workflow of reviewed invoices for Attorney approval.

Assists with Records Management program assessments and audits.

Identifies, preserves and maintains records affected by litigation, tax or audit holds, ensuring they are not altered or destroyed.

Reviews database of records in storage for all locations and reviews information periodicall! y with Records Management staff in order to recommend enhancements to the tracking of stored records through the expansion or revision of information required on the transmittal sheets.

Promotes program awareness by assisting with coordination of training classes and training materials and the training of record coordinators on record management policies and procedures.

Serves as the Legal department record coordinator to include working with attorneys and paralegals to determine open/closed matters, boxing, indexing and sending inactive department records to offsite storage.

Assists with subpoena requests, working with 3rd party on request to ensure process is followed, working with business and Legal department to gather data for subpoena request.

Supports attorney with compliance responsibilities as well as other related legal activities.

Maintains consistent and good working relationship with vendors to assure services provid! ed meet the company goals, expectations and contractual requirements.
Qualifications

Education and Experience:
Minimum degree required in records management, library science, business or related discipline required.

Minimum 3 years' experience in records and information lifecycle management or related field required.
