The global law firm of K&L Gates LLP seeks an experienced Legal Secretary for its Dallas, Texas office. This position will be responsible for accurate completion of work assigned ! by multiple timekeepers, including word processing functions, filing, client billing, time entry, using telephone equipment to answer incoming calls and to place outgoing calls, coordinating meetings and conference room services, arranging travel, submitting expense reports, calendar maintenance and handling of daily mail. Also responsible for maintaining various information lists including client/matter identification numbers, lawyers’ contacts and marketing mailing list. Legal secretaries must also maintain positive contact with clients, lawyers and all support staff. They must observe confidentiality on all client matters and adhere to procedures and guidelines set by all departments of the Firm.

ResPonsibilities Include:
The daily makeup of tasks may vary depending on attorney needs.

  • Extensive document revisions and proofreading of all work, which includes reading documents for content and context.
  • Strong administrative, organ! izational and interpersonal skills.
  • Duplicating docum! ents, papers and other materials as needed.
  • Preparing client bills, maintaining billing files, working with Accounting Department to resolve billing problems and efficiently processing final billing statements and letters.
  • Maintaining accurate and up-to-date databases such as contact lists, client/matter numbers and marketing mailing lists.
  • Scheduling meetings, arranging for conference rooms and requesting conference room services for meals, beverages, a/v equipment and scheduling outside vendor services such as court reporters or expert witnesses.
  • Coordinating timekeepers’ calendar with own and reminding of various meetings, appointments, court dates, etc.
  • Making travel arrangements, including air transportation, automobile rentals and hotel reservations.
  • Demonstrate the ability to interact with diverse personality types at various levels within the Firm under pressure.
  • Availability for occasional overtime. A! ssisting as a backup replacement secretary for other timekeepers in the absence of their regularly assigned secretary.
  • Greeting clients and providing assistance when needed.
Performing other related duties required based upon the unique practice of the lawyer, such as, but not limited to, Department Head administrative work, practice development initiatives, and committee project work. In addition, a limited amount of secretarial work for personal matters of the lawyer is to be expected.

QUALIFICATIONS

The ideal candidate will have at least five years of experience in various practice areas, primarily with strong expertise in the Litigation practice area. Experience in Commercial Disputes; Construction, Engineering & Energy; Environmental/Land/Natural Resources/Oil & Gas; Labor & Employment; Corporate & Transactional, Real Estate Investment, Development & Finance law arenas a plus. Candidate will also have the ability to organize and pr! ioritize workload and use own judgment in decision making on how to ade! quately and efficiently meet all deadlines. Ability to take the initiative in handling projects and anticipating what needs to be done is required. Interpersonal skills are essential to communicate effectively with a diverse group of clients, lawyers and staff and to provide information with courtesy and tact. Knowledge of Windows 7 system and Microsoft Suite of applications (including Outlook 2010) is required; E-filing is required; Hummingbird DM (document management system) preferred. Type at least 65 wpm. High school diploma or its equivalent required and Certificate or Degree from a Business School is preferred.
