We have an immediate opening in our Dallas office for an experienced litigation Legal Administrative Assistant .
The Legal Administrative Assistant prioritizes and coordinates projects for one or more litigation attorneys/timekeepers, managing multiple, simultaneous tasks. The Legal Administrative Assistant reports to the Director of Administration and must be able to communicate effectively, courteously, and professionally with clients, visitors, staff, and timekeepers. Heavy litigation experience and superb organizational skills are required. This position must demonstrate exceptional grammar, spelling, and proofreading skills.
Essential Job Functions:
Prioritizes work assignments to meet deadlines.
Operates office equipment including PCs, printers, phones, Dictaphones, copiers, facsimiles and typewriters.
Supports timekeepers by making meeting and travel arrangements.
Maintains calendar for timekeepers.
Res! ponsible for professionally managing incoming calls for timeke! epers.
Types correspondence, memoranda and other legal documentation accurately; includes transcription.
Performs clerical tasks such as filing, coding and organizing documents in paper form and electronically.
Enters client billable time.
Prepares expense reimbursements/disbursements.
Opens new files, requests conflict checks.
Reads, sorts and dates incoming mail, and ensures that outgoing mail is delivered.
Copes successfully with demands from timekeepers, remaining calm under pressure.
Conducts all business in a confidential manner.
Evaluates situations to determine the appropriate action.
Coordinates assignments with other Firm administrative departments.
Utilizes firm resources effectively.
Other duties as assigned.
Requirements:
Minimum five years litigation experience.
Must be familiar with litigation pleadings, document production,! and court filing.
Minimum typing speed of 60 wpm.
Substantial knowledge of federal and state ECF filings required.
Previous experience in Microsoft Office Suite required.
Experience with Vision software preferred.
Previous transcription experience required.
Excellent verbal and written communication skills.
