The Administrative Assistant (Assistant) position is responsible for providing administrative support to the Assistant General Counsel, attorneys, paralegals, and others in the department. The Assistant will type and edit contracts, memos, and other documents. The Assistant will help to manage the filing of legal documents, administer distribution of legal filings, and maintain a filing system. The Assistant will coordinate and schedule meetings and conference calls, manage and coordinate calendars, and prepare expense reports.
The Assistant will also perform administrative functions assisting the attorney! s in managing their matters and budgets utilizing TeamConnect ! and will assist with the timely processing and payment of invoices and the recording and tracking of time in Workbrain. The Assistant will ensure compliance with administrative processes and procedures and perform other administrative duties as assigned.
Additional responsibilities for this position include composing and appropriately distributing formal and informal correspondence while maintaining the strictest confidentiality. The position requires interacting with all levels of NiSource employees, utilizing discretion and professionalism.The successful candidate will answer and manage all telephone calls in a professional and timely manner, sort, prioritize, and route incoming and outgoing mail, schedule appointments and make travel arrangements, and provide technical assistance to staff in using computer software and applications. Candidates for the Assistant position must be highly organized, have excellent written and oral communications skills, be detail-or! iented, and demonstrate strong problem solving skills.
Requires high school diploma.
Requires at least five years secretarial and related administrative support. experience. Legal secretarial experience is helpful but not required.
Associates degree is preferred but will substitute experience in related administrative capacity.
Proficient in Microsoft Office and Lotus Notes. Ability to learn various matter management, time and expense software. Proficiency testing may be required.
Typing speed of at least 55 wpm.
Highly organized and detail-oriented.
Willing to tackle new tasks with enthusiasm and creativity.
A people person who works very well in a team environment.
