The United States District Court for the Southern District of Texas is seeking qualified applicants for the position of Judicial Assistant. The! district courts, combined with the appellate courts and the Supreme Court, make up the Third Branch of the federal government. The Southern District of Texas consists of seven divisional offices covering the southern part of Texas from Houston/Galveston to Laredo.

The Judicial Assistant works under the direction of the Magistrate Judge and is responsible for performing all administrative duties.

JSP 9 with promotional potential to JSP 11.

Representative Duties:
Duties may include:
prepare and/or edit legal documents
gather and maintain statistical data on reports to A.O. and Magistrate Division
receive and review incoming and outgoing correspondence pertaining to a variety of case types, such as civil, criminal, tax and administrative; identifies emergency motions and documents that requires special handling and brings them to the attention of the judge
maintain judge’s calendar; arrange meetings and conference! s for judge and support personnel
maintain the judge’s t! ravel itineraries and arrangements
manage chambers’ case management system in court's calendar and responsible for distribution of daily court calendar to various parties
assist with locating, scanning, copying, filing and docketing of orders, judgements, and minutes as directed by local court policy and makes summary entries of all documents and proceedings on the docket and closes cases upon receipt of terminating documents for selected magistrate cases, utilizing applicable automated systems
maintain, update, and track filed documents
organize and maintain various administrative filing systems
perform receptionist duties; acting as liaison between various agencies and judicial officers and serves as a primary source of information on calendaring and telephonic inquiries
provide assistance to law clerks
maintain office supplies and equipment and handle routine office matters.
assist with the orderly flow of proceedings in courtroom; inclu! ding, but not limited to, assuring presence of all necessary participants
assist, as needed, in jury selection and other court proceedings

Qualifications:
At least 2 years of college experience preferred but not required. Excellent writing and grammar skills proofreading and spelling. Minimum of six years of experience is required - two years of progressively responsible general clerical or secretarial experience, and four years of progressively responsible secretarial experience which involved responsibility as the principal office assistant to a supervisor in a legal environment. Outstanding typing and computer skills. MS Office Suite, WordPerfect, and Lotus Notes experience preferred. Must be able to manage a small office (including files, library materials, supplies and supervision of office maintenance). Professional demeanor and the ability to manage an executive office in a quiet work environment. Accuracy in checking edits, quotations, and le! gal citations and a thorough knowledge of legal terminology. Ability to! perform a wide variety of administrative tasks. Strong initiative and willingness to accept responsibility. Exceptional organizational skills and an eye for detail. Ability to work well with professional legal staff and court
personnel. The ability to deal with the Bar and the public in a polite and effective manner is crucial. Must be able to work extended hours on occasion. Demonstrate the ability to apply a body of rules, regulations, directives, or laws and involve the routine use of specialized terminology and automated software. Must be able to handle a large volume of work and possess the ability to multi-task, prioritize and manage his/her own workload.
